Creating a custom account

Open the Accounts List
Click Accounts List in the sidebar, then click Add New COA in the top right corner.

Choose which clients it applies to
In Select Client Type, search for and select the clients this account should apply to. Tick Select All to apply it across every client, or tick individual clients to limit it to them.

Name the account
Enter an Account Name, for example “Purchase”, and an Account Code. Custom account codes must be higher than 1000, keeping them clear of the system account range.

Set the account type
Choose Income or Expense from the Account Type dropdown. If you choose Expense, an Expense Type field appears, where you choose OPEX or COGS depending on whether the expense is an operating cost or a cost of goods sold.

Set the GST treatment
Choose GST or GST Free from the GST Treatment dropdown. This determines how transactions coded to this account are treated on the client’s BAS.

Add a description and save
Enter a short Description explaining what the account is for, for example “Groceries”. This helps your team code transactions to it consistently. Click Save.
Editing or removing a custom account
From the Custom Accounts tab, tick the checkbox next to an account to bring up the action bar at the bottom of the screen: Edit, Manage Clients, and Delete.- Edit opens the same Account Details form used to create it, so you can update the name, code, type, GST treatment, or description.
- Manage Clients lets you change which clients the account applies to.
- Delete permanently removes the account.
Only custom accounts can be edited or deleted this way. System accounts don’t have an action bar, since their setup is fixed across every client.
